"Poutrix VZW" (further abbreviated: "Poutrix") is a student association for the students of civil engineering at the University of Ghent. By using certain services, "personal data" or "privacy-sensitive information" (further abbreviated: "data") is processed as shown in this Privacy Policy (further referred to as: "statement"). The data is provided to us directly by you or from which it is clear that it has been provided to us for processing. Poutrix is committed to the privacy of its partners and takes great care to protect the data. Thus, we do our utmost to explain to you in this privacy statement in clear and plain language what personal data we collect, what we use it for and what your rights are in this regard. Data we process
We constantly strive to collect as little data as possible and only collect it when it is absolutely necessary. Below we list what data we may have and what they are used for:
- Name: to identify membership or sponsorship
- Address: to identify membership or sponsorship
- Email address: to notify you of updates related to your membership or sponsorship, to contact you regarding activities, newsletters and invitations;
- Activities for which you are registered: to facilitate the organization and improve our operation;
- Payment details: if you pay for a service (e.g. pay for one of our activities by bank transfer or transfer sponsorship money);
- Area of study: if enrolled in activity, in order to best guide you for our Bouwkundebeurs;
- Curriculum Vitae: if submitted by you (e.g., for the Bouwkundebeurs).
Retention period
We will retain your data for the duration necessary to fulfill the purposes in this privacy statement in compliance with the legal retention and limitation periods.

- Curriculum Vitae: up to 4 weeks after the purpose for which submitted (e.g. Architecture Fair);
- Payment information: as long as we are legally required to for accounting purposes;
- The remaining data is considered for archival purposes and will be kept during your membership and for 5 years after the membership ends. After this period, all your data will be automatically deleted.

As a recognized student organization of Ghent University, we also have certain responsibilities towards the university. If necessary, we may have to pass on personal data such as name and address to Ghent University or its affiliated organizations (e.g. Werkgroepen & Verenigingen Konvent).
